EXHIBITOR TERMS AND CONDITIONS

These Terms and Conditions constitute a binding agreement between the Exhibitor (the business or individual making the booking) and Business Networking Expos Ltd (BNX), a company registered in England and Wales (Company No. 16486425) with its registered office at 39 Moulton Chase, Hemsworth, Pontefract, West Yorkshire, United Kingdom WF9 4DU (“the Organiser”).

1. Exhibitor Responsibilities

1.1. Set-Up and Breakdown Exhibitors may access the venue for set-up from 07:00 on the day of the event. All stands must be fully set up by 10:15.

1.2. Dismantling Stands Stands must not be dismantled until the event officially closes at 15:00, unless the Organiser expressly authorises earlier breakdown and it is safe to do so. The Organiser reserves the right to levy a reasonable charge or restrict future bookings if a stand is dismantled before the official close without permission.

1.3. Venue Rules and Safety Compliance Exhibitors must always comply with all venue-specific health and safety regulations, including:

• Identifying the nearest fire exits and first aid points
• Keeping all walkways, exits and emergency equipment clear
• Following all health and safety instructions issued by the venue or Organiser
• Always acting safely and responsibly

1.4. Parking Free parking is available in designated bays. Exhibitors must park only in designated areas to ensure accessibility for all.

1.5. Accommodation Exhibitors are responsible for arranging and paying for their own accommodation if staying overnight prior to the event.

1.6. Sub-Letting Sub-letting all or part of a stand is strictly prohibited without the prior consent of the Organiser.

1.7. Commitment to Equality, Diversity and Inclusion We are committed to creating an inclusive and welcoming environment for all attendees, exhibitors, volunteers and staff. Exhibitors are expected to treat everyone with respect and to uphold the principles of equality, diversity and inclusion throughout the event. Discriminatory behaviour or harassment of any kind will not be tolerated and may result in removal from the event without refund.

1.8. Accessibility If you or your team have specific access requirements, please contact the Organiser in advance. We will work with the venue to accommodate needs wherever reasonably possible.

1.10. Stand Space and Equipment All stands must fit within the allocated space. Please inform the Organiser in advance if you plan to bring large equipment, display items, or require access to water and/or power.

Please be considerate to your fellow exhibitors and don’t allow your displays to encroach on their space or block them from view.

Electric sockets can be provided to exhibitors who require them for essential equipment such as computers, monitors, or display screens. Please note that sockets are limited at this venue, and we cannot guarantee access to plug points for charging personal devices such as mobile phones.

2. Business Category Clarity

The Organisers do not guarantee exclusivity for any business or industry sector. If you are concerned that a similar business may have already booked a stand and this could affect your decision to exhibit, please check with us before booking.
Refunds will not be issued due to the presence of other exhibitors offering similar products or services.

3. Cancellations and Refunds

3.1. If you cancel your booking after payment, the following refund policy applies:

• Less than 30 days: No refund (100% of fees retained)
• 31–60 days: 50% refund
• 61–90 days: 75% refund
• More than 90 days: Full refund minus 25% administration fee

3.2. Failure to attend or set up on the day does not entitle the Exhibitor to any refund. Unless there is a medical emergency beyond your control which prevents you from attending. In such cases, the Organiser will consider the situation on a case-by-case basis.

3.3. The Organiser reserves the right to decline any booking on reasonable grounds. Discretionary refunds may be issued on a case-by-case basis.

3.4. The Organiser makes no guarantees regarding footfall, sales, or specific outcomes on the day of the event. It is the responsibility of each Exhibitor to promote the event to their own network, encourage attendance and maximise their opportunity. No refunds or compensation will be offered based on perceived footfall or lead generation.

3.5. If you are concerned that a similar business has already booked a stand and this could affect your decision to exhibit, please check with the Organiser before booking.


4N believes in collaboration and does not offer exclusivity rights to any business or sector.
However, where a business operates under a multi-level marketing (MLM) model, a maximum of two stands will be permitted for the same parent company.

4. Liability and Insurance

4.1. Exhibitors are responsible for ensuring they have appropriate public liability insurance in place for the duration of the event to cover their own activities and risks.


The Organiser will not be held liable for any claims made against any Exhibitor by attendees, members of the public, other exhibitors, volunteers, or venue staff.


It is the Exhibitor’s responsibility to ensure they have adequate protection in place in line with their own risk exposure.
Public liability insurance is not usually expensive for a one-off event and helps protect both you and your business.

4.2. The Organiser shall not be responsible for any loss of, or damage to, the Exhibitor’s property at or in transit to the event, howsoever caused. Exhibitors are strongly advised to arrange appropriate insurance.

4.3. The Organiser accepts no liability for any claims made against an Exhibitor by third parties.

4.4. The Exhibitor agrees to indemnify and hold harmless the Organiser against any liability, costs, or damages arising from their participation in the event.

4.5. Nothing in these Terms and Conditions shall limit or exclude liability for death or personal injury caused by negligence.

5. Force Majeure

5.1. The Organiser shall not be liable for any failure or delay in performing its obligations where such failure results from any cause beyond its reasonable control (“Force Majeure Event”), including but not limited to acts of God, pandemics, governmental actions, venue closure, extreme weather, industrial disputes, or civil unrest.

5.2. In the event of a Force Majeure Event, the Organiser may, at its discretion, reschedule or cancel the event without liability to the Exhibitor beyond any applicable refund of fees already paid.

6. Privacy and Data Protection

6.1. All personal and business data provided in connection with this event will be handled in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

6.2. Data will be used for:

• Organising and managing this event
• Communicating essential event information
• Providing information about future BNX Expos and events that may be of legitimate interest to attendees

6.3. Data will not be sold or shared with third parties outside of BNX, its event management team and membership.

6.4. Exhibitors may unsubscribe from promotional communications at any time following the event.

7. Photography and Media

7.1. By attending or exhibiting at this event, you consent to the Organiser capturing photographs and video footage which may be used for marketing and promotional purposes relating to BNX activities.

7.2. If you have any concerns regarding photography or media use, please contact the Organiser in advance of the event.

8. Governing Law and Jurisdiction

8.1. These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with them shall be subject to the exclusive jurisdiction of the English courts.

8.2. This event is organised under the banner of BNX by local volunteer coordinators. All contractual and legal obligations remain with BNX as the organising entity.

9. Promotional Opportunities

To support promotion and visibility, BNX may run initiatives such as “Top Promoter of the Week”.
Exhibitors are expected to actively promote the event as part of their agreement. Exhibitors will receive a unique tracking link to share across their networks. Recognition is based on the number of valid clicks or registrations attributed to these links over a given period.


Promotion features (such as social media shoutouts, leaderboard placement or prize draw entry) are discretionary and may vary by campaign.

10. Complaints

10.1. Any concerns or complaints relating to the event, the booking process, or fulfilment of Exhibitor entitlements must be submitted in writing to the Organiser within 7 days of the event.

10.2. The Organiser will review all complaints in good faith and respond within 14 days. Where appropriate, corrective action or goodwill measures may be offered at the Organiser’s sole discretion. The Organiser’s decision is final.

11. Acceptance

By completing your booking, you confirm that you have read, understood and agreed to these Terms and Conditions and acknowledge that a contract is formed between you and BNX.
